Manage warmup around connected accounts

Warmup configuration and activity are tied to supported, connected mailboxes. Keep provider authorization and incoming-mail access working, and review errors before assuming activity is progressing as intended.

Check authentication configuration

Domain diagnostics can help inspect records related to SPF, DKIM, and DMARC. DNS failures can leave a check unresolved, and common-selector DKIM discovery may miss a valid selector. Use the results to guide investigation rather than treating every warning as a definitive failure.

Understand what a rating cannot tell you

A diagnostic rating is not a mailbox provider's private reputation score. DNS records alone cannot establish message-level alignment or inbox placement, and sending-IP blocklist status is not verified by these domain checks. Warmup cannot guarantee delivery or replies.

Separate mailbox activity from proof of deliverability

Warmup and domain diagnostics answer different questions. Warmup manages supported activity for connected accounts. Domain diagnostics examine configuration signals, such as records related to email authentication. Neither can observe every decision a receiving mailbox provider makes. A healthy-looking result should prompt confidence in the checks performed, not a promise that every message will reach the inbox.

Before interpreting activity, verify the connection. Sending access, incoming-mail access, and provider authorization can fail independently. A stale token or incorrect incoming configuration can affect what the application is able to observe. Inspect visible errors and reconnect where appropriate instead of increasing activity to compensate for a broken connection.

Then review domain findings in context. An SPF or DMARC warning can point to configuration that needs attention, but a temporary DNS lookup failure is different from a confirmed missing record. DKIM uses selectors, and checking common selectors does not enumerate every valid key. Real messages and the provider's own configuration remain relevant when investigating authentication alignment.

A practical walkthrough

Example: investigating a mailbox before campaign launch

  1. Begin in Email Accounts and verify that the intended mailbox is connected. Check incoming settings if you expect reply synchronization or supported warmup engagement. Resolve an explicit connection error before assessing activity trends.
  2. Open the domain diagnostics and inspect the individual findings rather than only the overall rating. Separate confirmed configuration issues from unresolved lookups. If a DKIM selector is not discovered, verify the selector used by your provider instead of assuming the domain cannot sign mail.
  3. After configuration review, examine actual sending and reply behavior. Keep recipient selection and message relevance part of the investigation. Warmup does not remove provider limits, repair an irrelevant audience, or establish permission to contact someone.

Does warmup guarantee inbox placement?

No. Placement depends on providers, sender history, authentication, content, recipient behavior, and other factors.

Is my website IP the sending IP?

Not necessarily. Your mailbox provider may send from different infrastructure. Website hosting IP checks do not establish the reputation of your actual outbound mail servers.
