Human review checklist for AI outreach: approve a sendable message
Approve the message as a recipient-facing action, not merely as plausible text. Evidence, targeting and operational state matter alongside grammar.

Who this helps: Researchers and campaign reviewers checking AI-assisted outreach drafts.
Define the decision
A draft can be factually correct yet inappropriate for the person or conversation. It might pitch a customer, repeat an answered question or promise a document nobody has prepared. The reviewer needs the source context and campaign state, not only a detached text box.
Work through the procedure
- Confirm the intended recipient, role and campaign purpose. Check whether a reply or exclusion has changed the next action.
- Audit factual claims against inspected sources and approved product information.
- Read for pressure, false familiarity, irrelevant personal details and unsupported certainty.
- Verify the offer, links, variables and reply ownership. Save the approved version with a clear distinction from unreviewed alternatives.
Worked example
The following is a synthetic example for this procedure, not a customer result or performance benchmark.
Review card
Evidence: every factual claim supported or removed
Relevance: task plausibly belongs to this role
Conversation: no ignored reply or opt-out
Offer: promised sample exists
Rendering: variables and signature checked
Decision: approve, revise or hold with a named reasonRead the result
The card creates a real decision instead of a vague 'looks good.' A hold can be the correct outcome when evidence or recipient context is missing. The reason matters because it tells the next operator what would resolve the issue; repeatedly regenerating text may not address a data or eligibility problem.
Check before moving on
- Review the final saved copy rather than an earlier chat draft.
- Check at least one incomplete-data record in the preview.
- Assign ownership for the first human responses after launch.
Limits and next action
This checklist is a recommended manual workflow, not a claim of built-in approval routing in Zintara. AI-generated reply suggestions should not be sent automatically merely because they are well phrased. The person responsible for the conversation should approve the actual message.
