Cold email agency reporting: connect activity to client decisions
An agency report should explain what happened, what the evidence supports and what the client needs to decide. Keep activity, conversation quality and commercial outcomes in separate rows.

Define the decision
A large send count can hide weak targeting, while a small campaign can produce useful market feedback before it produces opportunities. Agree on definitions before the reporting period begins. Otherwise the agency and client can use the same word, such as lead, for completely different stages.
Work through the procedure
- Record the campaign, audience version, reporting dates, timezone and observation cutoff.
- Reconcile attempted sends and actual sent messages before discussing rates.
- Review human replies into agreed categories and connect accepted opportunities to their source conversations.
- End with one decision, its owner and the evidence required to assess the next reporting period.

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

The example does not convert all seven positive replies into opportunities. It also distinguishes message volume from people reached, so follow-ups do not inflate the audience denominator. Pending classifications remain visible rather than being assigned to whichever category makes the report look better.
Check before moving on
- Use the same definitions in the dashboard export and narrative.
- Show late changes to earlier periods as revisions.
- Separate client approval delays from campaign sending failures.

Opportunity acceptance and revenue usually require records outside Zintara. This is a reporting method, not a promise of native CRM attribution or an industry benchmark. Do not publish client identities or message excerpts without the appropriate permission.
