Delayed cold email replies: keep send cohorts and response dates separate
A reply has both a response date and an originating send cohort. Choose the view that answers the question, and label it so a late reply does not appear to be contradictory data.

Define the decision
Zintara's current overview groups sent messages by send date and associates later engagement with those messages. A historical send cohort can therefore gain replies after the initial reporting day. An inbox workload report organized by reply arrival answers a different question: when the team needed to respond.
Work through the procedure
- State whether the report is organized by send date or response date.
- Record the observation cutoff for any saved report.
- When refreshing a cohort, mark late additions as a revision rather than a new send.
- Use a separate response-arrival view for staffing or inbox service-level analysis.

The example explains why a previously exported rate can differ from the live dashboard. It does not justify unexplained discrepancies: compare the same cutoff, timezone, filters and counting unit before accepting the difference. Repeated replies should not be added as new respondents in a unique-person metric.
Check before moving on
- Retain snapshot timestamps in client reports.
- Do not compare a mature cohort with one sent yesterday as if exposure time were equal.
- Check the definition of each breakdown rather than assuming every report uses identical grouping.
Limits and next action
The send-cohort statement was checked against Zintara's overview implementation. A manually constructed response-date report may require additional data and is not promised as a native view. Late attribution cannot repair a reply that was never correctly matched.
