Cold email signature examples: make sender identity clear
Use a signature that makes the sender and organization easy to identify. Keep it consistent with the mailbox and message rather than filling it with unrelated promotional elements.

Who this helps: People writing and reviewing outreach messages or responding to prospects.
Define the decision
The signature is part of the recipient's trust assessment. A message from one person with another person's sign-off creates confusion even if the body is well written. Review the actual rendered identity, especially when a campaign can use a mailbox identity or a profile-based name and signature.
Work through the procedure
- Choose the real sender responsible for the conversation and confirm authorization to represent the organization.
- Include the name, role or function where useful, organization and relevant contact information required by your process.
- Remove excessive promotional lines, unverified awards and images that obscure the basic identity.
- Send a controlled preview and compare display name, From address, body sign-off and reply route for consistency.

The example emphasizes identity rather than decoration. It intentionally does not invent an address, telephone number or compliance claim. Replace the editing instruction with the details your actual sender requires, and inspect the rendered version so no placeholder survives into a live message.
Check before moving on
- Confirm a reply reaches the intended owner.
- Remove former employee names after an ownership change.
- Review signatures in later steps as well as the first email.
Limits and next action
This is an editorial layout, not a universal legal signature specification. Zintara's current send path can use mailbox or profile identity settings. Verify the selected mode and actual values; a correct profile elsewhere in the workspace does not prove the campaign renders that profile.
