Reschedule a sales meeting: replace the appointment without duplicating it

Define the decision
A reschedule may be initiated by either party. The message should make the next action obvious without assigning blame. Before offering times, check the availability of every required participant and preserve the purpose of the original meeting. A move is not an opportunity to expand the agenda silently.
Work through the procedure
- Identify who requested the change and whether a replacement time has already been agreed.
- Offer two checked alternatives with a timezone, or use the agreed scheduling method if that is easier for the recipient.
- Update or cancel the original invitation through its owning calendar system after agreement.
- Confirm the final arrangement and retain any preparation already completed so the recipient is not asked to repeat work.

The useful promise is ownership of the calendar update. Without it, both parties may assume the other will cancel the old event. If neither alternative works, ask for a suitable window rather than sending a long list of dates. If the meeting is no longer useful, make cancellation an acceptable outcome.
Check before moving on
- Verify the actual date as well as the weekday before sending.
- Check whether an external attendee or specialist also needs the updated invitation.
- Remove automated reminders tied to the superseded appointment where your calendar process permits.
