Respond to a wrong-person reply: correct the record and stop the mismatch
Acknowledge the mismatch and stop treating the person as the owner of that task. Ask a routing question only when it fits their response, rather than automatically pushing for another contact.

Who this helps: People writing and reviewing outreach messages or responding to prospects.
Define the decision
A wrong-person reply is useful evidence about your targeting. It may mean the role data is stale, the organization assigns work differently or the original hypothesis was weak. Correct the data and inspect similar records so the same mistake does not continue across the campaign.
Work through the procedure
- Read whether the recipient merely corrected ownership or also asked for no further contact.
- Acknowledge the correction without defending the original targeting.
- If the tone and request allow it, ask a narrow function-level routing question. Otherwise end the exchange.
- Update the campaign decision and research notes, then review other contacts selected by the same assumption.
Worked example
The following is a synthetic example for this procedure, not a customer result or performance benchmark.
Thanks for clarifying. I will stop treating this as part of your remit.
If it is easy to say, does onboarding ownership sit with operations or customer success? No need to find an individual contact.
Omit the question when the person has asked you to stop.Read the result
The response accepts the correction and bounds the extra request. It does not argue that the person should still attend a meeting. If several recipients give the same correction, the issue may be the segment definition rather than individual records; revise targeting before sending more messages.
Check before moving on
- Ensure a pending automated follow-up does not repeat the original ownership claim.
- Preserve any opt-out separately from role correction.
- Do not mark the reply as positive sales intent merely because it was helpful.
Limits and next action
This example requires human judgment about the actual reply. Zintara's inbox classifications can support review but do not establish the appropriate conversational response. Correct the data and scope of future work instead of relying solely on a sentiment label.
