Privacy minimization for AI outreach: send only the context the task needs

Define the decision

A prompt can accumulate copied emails, profile notes and unrelated details simply because they are available. Before using an AI provider, decide what the task actually needs and what can be removed or generalized. Keep secrets and unnecessary personal context out of prompts and broad-access review notes.

Work through the procedure

1. List the decision the model is helping with and the fields required to support it.
2. Remove unrelated personal details, confidential conversation content and credential material.
3. Use synthetic or redacted examples when exact identities are unnecessary.
4. Review the output for accidental reintroduction of personal details or unsupported inferences.

Worked example

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Task: rewrite an offer in plain language
Needed: approved offer, intended business role, tone constraints
Usually unnecessary: full inbox history, personal hobbies, private phone numbers
Test with a synthetic company when identity is not relevant to the wording decision.

Read the result

The minimized prompt can still produce useful copy because it preserves the task's structure. If a specific fact is essential, verify that its use is appropriate and include only the relevant portion. Minimization is an input-design choice, not a claim that every provider handles data identically.

Check before moving on

1. Review exports before uploading them to another service.
2. Keep provider keys out of messages and logs.
3. Use an approved process for retaining research notes.
