Change a campaign sender mailbox without losing conversation context

A sender change is a change to the recipient's conversation, not just a capacity adjustment. Review who has already heard from the old identity and who will own replies after the switch.

Define the decision

The operational need may be legitimate: an employee leaves, a mailbox is retired or ownership changes. But a follow-up from a new address can confuse a recipient who saw the earlier message. Decide whether existing conversations should stay with the previous owner, be handed off explicitly or stop pending review.

Work through the procedure

  1. Identify why the sender is changing and confirm the new mailbox owner has authorized its use.
  2. Test sending and incoming reply access for the new mailbox. Review display name, signature and any profile-based identity setting.
  3. Separate contacts with no accepted messages from contacts already in a conversation. Draft a truthful handoff sentence where continuity requires it.
  4. Review account selection and capacity after the change. Inspect one pending enrollment and preserve the old sender's reply coverage for outstanding conversations where appropriate.
