Stop follow-ups after a reply: verify matching and enrollment state

Verify that the reply was received, matched to the enrollment and handled under the campaign's stop-on-reply setting. A message visible in provider webmail alone does not establish that the application processed it.

Define the decision

The desired outcome is conversational: a person who has replied should not receive an inappropriate automated continuation. The technical path includes incoming access, classification and campaign association. Start with one controlled reply so you can check each stage without sending diagnostic mail to a prospect.

Work through the procedure

  1. Confirm the campaign's stop-on-reply setting and the selected mailbox's incoming connection.
  2. Reply to a controlled campaign message and verify it appears in Zintara with the intended conversation context.
  3. Inspect the affected enrollment and pending next action. In the current processing path, a matched human reply can move an active or paused enrollment to replied and clear its next send time when stop-on-reply is enabled.
  4. If the state does not change, preserve message and enrollment identifiers and investigate sync, matching or classification before resuming.

Read the result

The example verifies the intended chain rather than only the presence of a reply in an inbox. An unmatched message or automatic response may follow a different path. If a live follow-up was already accepted before the reply was processed, compare event times before declaring the stop control ineffective.

  2. Check overlapping campaigns for the same contact.
  3. Keep sync outages in the restart review because replies may have arrived during the gap.

Limits and next action

Zintara uses heuristic classification and campaign matching, not perfect interpretation of every message. A stop-on-reply setting does not replace human conversation ownership. Investigate ambiguous or unmatched cases and handle opt-outs through durable exclusion controls.
