Positive reply handoff workflow: route evidence to a named owner

A positive label should trigger review, not an automatic sales promise. Read the reply, identify the actual request and assign a person to fulfill it.

Who this helps: Inbox owners configuring reply review and sequence handoffs.

Define the decision

A message can contain words such as interested or calendar without expressing a clear buying request. Even a genuine positive response may ask only for a sample. The handoff should preserve the requested action and conversation context rather than reducing everything to a generic hot-lead label.

Work through the procedure

  1. Define what your team considers positive intent and how information requests differ from meetings or opportunities.
  2. Use available workflow conditions to surface candidate replies through a tag, list or in-app notification.
  3. Have the owner read the message and verify the next action, including promised materials and timing.
  4. Check pending automated work and keep the handoff state visible so another operator does not continue the original pitch.

Worked example

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Reply: Yes, please send the checklist.
Candidate classification: positive
Human decision: fulfill the checklist request
Supported operational aids: tag, review list, in-app notification
Not yet established: booked meeting, budget or qualified opportunity

Read the result

The handoff succeeds when someone sends the requested material and records the conversation's next step. It fails if the label causes an unrelated meeting pitch or a false opportunity count. Keeping evidence and action together makes the workflow useful even when the classifier occasionally makes mistakes.

Check before moving on

  1. Test the workflow with a controlled reply and inspect the resulting action.
  2. Ensure a named person actually watches the notification feed or review list.
  3. Review keyword matches that appear inside quoted text or negative sentences.

Limits and next action

Zintara's workflow actions are bounded; in-app notifications are not automatic email or Slack alerts, and native CRM owner assignment is not implied. Sentiment is heuristic. Use the workflow to assist human review rather than automatically sending a generated reply.
