Company versus contact fields: prevent misplaced personalization

Interpret a fact at the level it actually describes. A company hiring announcement is not evidence that a particular employee owns the hiring project.

Define the decision

Outreach data often flattens company and person information into one row. That is convenient but easy to misread. Field names should distinguish observed company context, verified recipient role and your hypothesis about relevance. Otherwise a data join can quietly turn an organization fact into an unsupported personal claim.

Work through the procedure

  1. Classify proposed fields as person, organization, source evidence or internal assessment.
  2. Use names that reveal scope, such as company_product_area instead of a vague interest field.
  3. When copying an organization fact to several contacts, retain its source and review date. Do not rewrite it as an action by every recipient.
  4. Preview the resulting sentence. Replace 'you launched' with an accurate organization-level statement when individual ownership is unverified.

Observed: ExampleCo lists an onboarding product
Company field: company_product_area = onboarding
Person field: role = operations manager, if verified
Unsupported: 'You launched the onboarding product'
Better question: 'Would onboarding handoffs fall within your team's remit?'

Read the result

The question does not pretend to know the recipient's responsibilities. It uses company context to frame a relevant uncertainty. If the role is also unverified, further research or a broader routing question may be needed. More populated fields do not automatically create better qualification or justify stronger claims in the opening sentence.

Check before moving on

  1. Review shared company fields for accidental person-specific wording.
  2. Keep custom keys separate from standard names to avoid collisions.
  3. Remove stale facts when the underlying source changes or cannot be verified.

Limits and next action
