Exclude existing customers from prospecting campaigns

Check customer and active-opportunity exclusions before enrollment and again before launch. A list exported last month can include people whose relationship with you has changed.

Define the decision

A customer receiving a generic prospecting pitch is usually a coordination failure. Deleting customers from every system is not the solution; their history and appropriate service communication still matter. Define an exclusion for this outreach purpose and identify who keeps the relationship data current.

Work through the procedure

  1. Obtain an authorized current customer and opportunity list from the responsible team. Record its date and scope.
  2. Match exact addresses first, then review domains and organization names without automatically merging unrelated subsidiaries.
  3. Flag uncertain matches for the account owner. A spelling difference is not sufficient evidence that a record is a new prospect.
  4. Apply the appropriate exclusion and retain its reason. Refresh close to launch when the sales pipeline changes frequently.

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Exact contact match: customer → exclude from prospecting
Different employee, contracted company → account-owner review
Similar name, different domain → verify identity
Active opportunity → coordinate with the engaged salesperson

Read the result

Exact matching is efficient but incomplete for account relationships. Review handles ambiguous company structures without treating every similar name as identical. Retaining the reason lets another operator distinguish a campaign-specific exclusion from a durable opt-out. Those decisions should not be silently combined into one unexplained status.

Check before moving on

  1. Confirm the exclusion source covers the intended client or workspace.
  2. Recheck contacts added after the initial audience approval.
  3. Keep service communication decisions separate from prospecting eligibility.

Limits and next action
