Google Workspace admin app approval: prepare a reviewable request

Give the administrator the application identity, required mailbox purpose and affected users instead of asking for unrestricted access.

Reviewed · Examples are illustrative

Who this helps: Mailbox owners and administrators validating sending and reply access.

Define the decision

An approval request is easier to evaluate when it distinguishes Google sign-in from mail access. Zintara’s mailbox flow needs the access used by its SMTP and IMAP connection; a generic app name is insufficient to identify the correct client.

Work through the procedure

  1. Record the OAuth client identity from the consent or admin review screen.
  2. Describe the mailbox workflow and which users require it.
  3. Provide the current requested permissions and application support information.
  4. Let the administrator choose the appropriate access configuration.
  5. Test the approved account’s send-and-reply path.

Worked example

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Request purpose: connect the outreach mailbox for sending and receiving replies
Affected account: designated business mailbox
App identity: exact reviewed OAuth client
Verification after approval: controlled message and reply, not merely sign-in

Read the result

The request should let the administrator compare the intended use with the permissions shown. If the client identity differs from the deployment operator’s configuration, resolve that mismatch first.

Check before moving on

  1. Limit the request to the intended organizational scope.
  2. Record the decision and owner for later access reviews.

Limits and next action

This guide does not instruct administrators to trust every third-party application or override their policies. Use the current Workspace app-access controls.
