Microsoft IMAP access disabled: diagnose the receiving protocol

Separate mailbox protocol policy from successful SMTP submission when Microsoft replies do not sync.

Reviewed · Examples are illustrative

Who this helps: Mailbox owners and administrators validating sending and reply access.

Define the decision

Zintara’s Microsoft inbox path uses IMAP. A mailbox can submit messages successfully while incoming access fails due to authorization, protocol policy or a different receiving identity. Browser access to Outlook is a separate path.

Work through the procedure

  1. Confirm the missing reply exists in the intended mailbox’s INBOX.
  2. Capture the sanitized IMAP connection or authentication error.
  3. Ask the administrator to inspect the mailbox’s IMAP availability and approved app access.
  4. Retest a fresh controlled reply after correcting the relevant policy.

Worked example

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Outlook webmail: reply visible
SMTP: test accepted
IMAP: protocol access denied
Diagnosis: receiving-path policy remains unresolved
Campaign release: wait until the controlled reply appears in Zintara

Read the result

The test isolates the receiving channel. Resetting SMTP credentials without addressing IMAP policy can leave follow-up stopping and inbox visibility unreliable.

Check before moving on

  1. Check account identity and INBOX location.
  2. Keep protocol errors separate from OAuth consent errors.

Limits and next action

Do not assume a Microsoft Graph permission enables this IMAP connector. Use the current Microsoft protocol documentation and the tenant administrator’s supported configuration.
