Spam complaint investigation: trace the audience and stop repeated contact

Investigate complaints by source, message and handling failure while preserving the recipient’s exclusion from future outreach.

Who this helps: Operators diagnosing authentication, receiving-policy and delivery failures.

Define the decision

A complaint can reveal poor targeting, stale data, confusing identity or a failed opt-out. Begin with the recipient’s protection and the affected cohort, rather than searching for a cosmetic word change.

Work through the procedure

  1. Apply and verify the relevant suppression.
  2. Record the campaign, audience source, message version and sending identity.
  3. Check whether an earlier opt-out or negative response was missed.
  4. Review similar contacts from the same source before continuing that segment.
  5. Assign a correction and a monitored restart decision.

Worked example

The following is a synthetic example for this procedure, not a customer result or performance benchmark.

Complaint cohort: contacts imported from one old partner list
Prior signal: several recipients said they did not recognize the sender
Immediate action: pause that source and verify suppression
Investigation: relevance and provenance, not simply subject-line wording

Read the result

The cohort helps distinguish an isolated incident from a repeatable sourcing problem. Keep raw recipient details restricted while sharing the operational finding with the campaign owner.

Check before moving on

  1. Check every active enrollment for the affected address.
  2. Preserve the reason and source of suppression.

Limits and next action

Do not use a provider threshold as an acceptable complaint target. An unresolved opt-out handling failure should be corrected before the affected workflow resumes.
